Most briefs for a luxury pop-up are won on a moodboard and lost on a permit. This is the shortlist of questions we would ask if we were sitting on your side of the table, written for houses producing in Paris, Milan, London, New York, Tokyo and Dubai.

Exclusivity of the address
Ask whether the shell is exclusive to you for the window, and whether the agency has traded a competitor in the same catchment that season. A luxury house cannot follow a rival into the same doorway six days later.

Permits in the specific city
Licensing for temporary retail is local, not national. Ask for the last three filings in the exact city, the lead times they hit, and what they were refused on. Vague reassurance here is the most expensive risk on the project.

Build-out speed under a fixed date
A fashion week window does not move. Ask for the install-to-doors duration on their last three builds and what was value-engineered out to hit it.

One line of accountability
Concept, venue, production and staffing under one contract removes the gap where delays hide. If four vendors are involved, ask who is contractually liable for a late opening.

Receipts, not a reel
Case-study films are made after the fact. Ask for the production dossier: budget against actual, footfall, conversion, and what went wrong. A partner who cannot show a post-mortem has not run enough of them.

Local crew, not flown-in crew
Freight and per-diems quietly eat a build budget, and a local crew knows the loading restrictions on the street. Ask where the install team is based for each city on the tour.

- What does a brand activation agency actually do?
- It turns a brand idea into a physical, time-boxed experience: concept, venue, permits, fabrication, staffing and the operating week itself. For fashion, that usually means a pop-up shop or showroom timed to a fashion week window.
- How much does a luxury pop-up activation cost?
- In the fashion capitals, a two-week activation typically lands between EUR 60k and EUR 400k all-in, depending on the shell, the fit-out ambition and staffing. Rent is rarely more than a third of it. Our budget calculator breaks the split down line by line.
- How far in advance should we brief an agency?
- Eight weeks is workable for a proven city. Twelve is comfortable. Under six weeks the constraint is almost never design, it is permits and the lease sign-off on the shell you want.
- Who should own the permits, the agency or the brand?
- The agency. Temporary retail licensing differs in every city, and a partner who has filed in that borough before is the difference between opening on time and opening late. Ask for named past filings, not a general claim of experience.
- What is the difference between an experiential marketing partner and a production company?
- A production company builds what you have already decided. An experiential partner is accountable for the outcome: the idea, the address, the build and the trading week, with one contract and one set of receipts.
